In today’s newsletter we will go over the following:
The importance of a project management system
Why you’ll make more money using a project management system
The frameworks around building an effective project management system
And a whole lot more
B2B Operational Idea of the Week
Take a few hourou s and look at your whole agency, find all the leaks in your systems, fix them within 24hrs, and do this every single day, come up with 7-14 different leaks in your systems
This will get you get 1% better day by day, and that compounds
Deep Dive
Most of you simply under utilize how good your project management system in your agency can be
I’ve seen this be the difference between a 6 figure and 7 figure agency
This is what seperates those who win and those who don’t
And I’ve worked with very successful agencies who just use Apple notes the whole time
And they get embarrassed when they say it but they know it’s a horrible way to go about tracking projects
Yeah, it might work for you alone, and I still use Apple notes for myself every now and then
But when you have a team of 8 or even 16 people you can’t rely on Apple notes to carry you the whole way there
You need to invest and build out a project management system
Otherwise you’ll end up going bust
Results of implementing this system?
Better client results
Projects move faster
Team is more effecient
Clients like you more and stay with you longer
You spend less time chasing down tasks from people
Clients refer you more customers due to a prestige service
In short, more money for you
And I’m not talking about a few thousand
I’m talking about hundreds of thousands and even millions more made
This can be the difference between running a profitable scaling 6 figure agency compared to one that isn’t profitable doing 5 figures
I categorize these systems into a few main neccessities:
Task manager
Team info
Client Info
SOPs
Other resources
And that is it, in that specific order
Why?
These serve EVERYTHING myself and my team will ever need when working on a task
Hiring for one of our clients and forgot the framework?
Can click on SOPs and find the SOP there
Forgot the client onboarding info?
Can click on client info and see the onboarding info
Even forgot when is your team members birthday?
Click on team info and find their birthday
Everything you’ll ever need will be in one of these 5 things
You can even break it down more and remove team and client info, and just merge them into one
And merge SOPs and other resources into one
Then you have 3-4 views and that’s it
Simplicity always wins in the long run
Hope this was helpful
Look at my Project Management System below for inspiration

Main headers I use right now, I’ll end up merging a handful of them to reduce the tabs
