My SOP Process

Hey,

So, companies often go wrong when building out their SOPs because they don't have a clear and concise step-by-step process they follow, right?

You might have an SOP database that you build on Google Sheets, but then you can't link those to your tasks—this becomes an issue

Or, you might have an SOP database on Airtable, but you don't know what is needed for those SOPs, and you don't know the exact process around building them

So that's what I want to talk about today

When building SOPs, you need to understand what is happening. What are we trying to achieve with this SOP?

The way I go about my process is:

First, I figure out, "Okay, what is the SOP I want to go over today, and what is the ideal scenario that, if I build out this SOP, it will yield the highest ROI for my team and myself?"

From there, I start recording the SOP step by step

Usually, the first video isn't the best, so I do one video just to understand what we're talking about and to see, "Okay, this is what I actually want to go over in the video."

The second time I record the video, my main focus is, "Okay, based on the first video, how can I make this shorter and keep it within 5 to 10 minutes, covering the same exact content but in a more concise way?"

Most times, people's attention spans for informational knowledge are limited—they can only handle a certain amount within 5 to 10 minutes, right?

Your brain cannot process an hour or two hours' worth of videos and information in one sitting

So I look at how I can condense all this information into 5 to 10 minutes, covering the same things but within a shorter time frame

The third time I record the video, I see, "Okay, how can I make this the most in-depth video within the 5 to 10 minutes?"

I want to cover every step-by-step process from A to Z within that time

So, if I look at the process:

The first time, I'm just getting a good understanding of what we're going over today and what I'm trying to do.

The second time, I'm focusing on how I can condense the time

The third time, I focus on how I can make this the most informative video within 5 to 10 minutes, right?

Once the SOP is fully recorded, I go into Loom and remove any silences, all the times I say "um" or "like," and any pauses—basically all the useless space

From there, I upload that video transcript to my AI SOP generator

I give it the video transcript, and it provides me with the definition of "done," the context about this SOP, what resources are needed, the exact step-by-step instructions in text format, and any FAQs that go along with it, with potential ideas for attachments I can add

Within 30 minutes, I'm able to take an idea for an SOP and have the video fully polished and dialed in, with all the information I need to plug and play this data into my SOP database

This allows me to use the same amount of input but get more output
