Leverage work forms in your agency, set a timer for 1 hr, and after every hour fill out the form going over what you did, then take a break for 10 minutes, and start the next hour

Better to do this in the morning, and this work should be focused on moving your business forward, and not client work

Onboarding is often something that many people will give you mixed opinions on

Either it’s good to do it manually because it gives a personal approach

Or is it good to do it automatically, because it saves time and makes things seamless

But rarely do people talk about using both

Using the best of both worlds

Having some manual parts to give that personal touch

And automating the rest to make it very seamless

Ideally, a good rule of thumb is only to do the manual tasks that yield high ROIs

For example, it makes sense to manually welcome the client or send them a gift

Instead of doing it automatically

And it makes sense to automate creating Google folders, docs, and slack channels, rather than doing it manually

The things that yield a high ROI should be manual because it’ll position you as more of an expert and set their expectations even higher

Usual onboarding flows follow this framework:

  1. Trigger: CRM - moving them to Closed stage

  2. Send welcome email

  3. Create slack channels

  4. Send contract over

  5. Invite team members to the Slack channel

  6. Notify the team of new client

  7. Create a Google folder & resources

  8. Add client to your Project Management System (PMS)

  9. Send a welcome message in Slack

  10. Add onboarding tasks to your PMS

And then from there depending on your niche, you can go a bit more in-depth

For example, for a creative agency, they’ll want to create specific folders within the software

Select creators and so on

But this general onboarding flow will get you 90% of the way there

From here you just finish what you do in your due diligence and you’re golden

What you’ll end up noticing as you test it as clients will respond to specific steps in a certain way

They might be mad about the contract being sent automatically

Or that the welcome message it to automated and not personal

It’s worth noting you should only listen to clients who fall into your ICP

Their feedback is worth it

From there based on good feedback you modify your onboarding process so that after each client it gets better and better

This will allow you to create a seamless process that yields the highest results possible/
